Finca La Vida Loca determines the purposes for which and the manner in which personal data is processed.

2. What personal data do we process?

Depending on how you contact us, use our website, or make a reservation with us, we may process, among other things, the following personal data:

  • first and last name;
  • address and residence details;
  • email address;
  • phone number;
  • reservation and stay details;
  • arrival and departure dates;
  • information provided by you via our contact form or other communications;
  • invoicing and payment details;
  • IP address;
  • technical data about the device and browser you use to visit our website;
  • data regarding the use of our website;

Statutorily required guest registration: full name, date of birth, nationality, type and number of identity document/passport, issue date, and gender of all guests, as required under Spanish regulations for holiday rentals.

Please note: Finca La Vida Loca explicitly does not make, request, or store copies or scans of your identity document or passport. We only record the statutorily required data to comply with our registration obligation.

We only process personal data that is necessary for our services, business operations, or legal obligations.

3. For what purposes do we process personal data?

We may process your personal data for the following purposes:

  • Reservations and stay: to process your request or reservation, organize your stay, and execute the contract concluded with you.
  • Payments and administration: for processing and administering payments, invoices, and our financial and tax administration.
  • Legal guest registration (Spain): to comply with Spanish legislation regarding traveler registration and the mandatory submission of guest data to the competent Spanish authorities and security forces (among others, pursuant to Real Decreto 933/2021).
  • Communication: to contact you regarding your inquiry, reservation, stay, or other questions, and to inform you of relevant changes to our services.
  • Website and security: to ensure the technical operation of our website, secure it, and analyze and improve its performance.
  • Marketing and newsletter: where you have given your consent, we may use your email address to send you news, offers, or other commercial information from Finca La Vida Loca. You can unsubscribe at any time via the unsubscribe option in the email or by contacting us.

4. Legal basis for processing

We process personal data only when there is a valid legal basis. Depending on the processing activity, this is:

  • Performance of a contract: when processing is necessary to execute your reservation or stay, or to take steps at your request prior to making a reservation;
  • Legal obligation: when we are required to process or retain data based on applicable Spanish or European legislation, such as tax obligations and Spanish guest registration regulations (Real Decreto 933/2021);
  • Legitimate interest: for website security, fraud prevention, business administration, or service improvement, provided your privacy interests do not override ours;
  • Consent: for specific marketing activities and non-essential cookies. When processing is based on your consent, you can withdraw it at any time.

5. How long do we retain your personal data?

We do not retain personal data longer than necessary for the purpose for which it was collected or to comply with legal obligations:

Guest registration data (RD 933/2021): retained for 3 years from the check-out date, in accordance with Spanish statutory requirements.

Administrative, accounting, and tax data (invoices, payments): retained for 6 years to comply with Spanish commercial and tax laws (Código de Comercio).

General contact and reservation requests (without booking): retained for a maximum of 2 years after handling the last contact.

Marketing and newsletter: retained until you withdraw your consent or unsubscribe.

When personal data is no longer required and there is no longer a legal obligation to retain it, it will be permanently deleted or anonymized.

6. Sharing personal data with third parties

Finca La Vida Loca does not sell your personal data to third parties.

We only share personal data with external parties when necessary for our services, business operations, or to comply with a legal obligation. This may include:

  • competent Spanish government and security authorities (for mandatory guest registration);
  • hosting and website providers;
  • reservation and booking systems;
  • payment service providers;
  • IT and technical service providers;
  • email and communication services;
  • accounting or administrative service providers and professional advisors.

When an external party processes personal data on our behalf (as a processor), we conclude appropriate data processing agreements to ensure the same level of security and confidentiality.

7. Transfer outside the European Economic Area

Some of our service providers or their technical systems may be located outside the European Economic Area (EEA). When personal data is processed outside the EEA, we ensure that a valid legal basis and adequate safeguards exist in accordance with the GDPR, such as an adequacy decision by the European Commission or approved Standard Contractual Clauses.

We take appropriate technical and organizational measures to protect personal data against loss, misuse, unauthorized access, unwanted disclosure, alteration, or other unlawful processing. These measures are regularly evaluated and adapted to the level of risk.

To verify your identity, we may request additional information. We do not routinely request a copy of your identity document if your identity can be confirmed in a less intrusive manner. We generally respond to your request within one month.
